About the customer
De Haan Minerale Oliën BV is a strong and expanding family-owned business in the Netherlands. It has a vast network of around 160 service stations across the country. Its subsidiary, De Haan Tankstations, provides fuel to independent stations, ensuring national coverage for the network.

In addition to fuel sales, the organization has modern, equipped shops with excellent coffee, bakery departments with freshly baked rolls, carwashes (including rollover and box variants), the possibility of renting trailers, and even ATMs at their service stations.

What prompted your search for a digital solution to process invoices?
De Haan is a modern organization that continuously strives to improve its processes. Digital invoice processing was thus a logical step. "We were still doing this entirely on paper and wanted to digitize this process."
What problem does Xtendis solve for you?
"The goal was to digitize (cost) invoices. Xtendis solves many problems for us, like no longer having to print the invoices and physically collect signatures. The digital archive also ensures that invoices cannot get lost and can always be viewed. Furthermore, invoices are now approved digitally by the right person."
Can you describe the steps you took during the selection process?
"We assembled a working group of several colleagues to investigate the possibilities and conditions. We asked ourselves: What is needed, and with whom can we collaborate to digitize our invoices? An important condition for us was an existing and working link with Lodder Software, our financial administration package."
Why was Xtendis chosen?
Expansion offers its relations the opportunity to share experiences. For De Haan, it was important to be able to exchange views from a referent in the same industry and exchange views
and share experiences. "After many discussions, demos, and reference visits, we finally chose Xtendis because it best fits how our organization works and the good existing link with Lodder."
How does the link with Lodder Software work?
Xtendis handles the scanning and recognition process for incoming invoices. Paper invoices are scanned, and mailed invoices are processed through a unified digital process. The invoice information is recognized automatically, and a booking proposal is generated. Lodder is connected to allow for sharing of booking data and archiving of invoices. Moreover, this invoice is directly retrievable from Lodder. Pieter de Meer summarizes it as follows:
"In Xtendis, the invoice is registered and approved. The link with Lodder provides
three things:
- When recognizing the creditor, the master data is read from Lodder;
- After registering the invoice, a journal entry is exported, which can be read into Lodder;
- After approving the invoice, a file is created, which releases the invoice for payment."
How do you look back on the project and your role in it?
"As a member of the project group, I participated in all discussions related to the subject. Additionally, I assisted in testing and preparing Xtendis for launch. Our experience with Expansion was highly positive - from the initial demo to the reference visit. The consultant we worked with during the implementation process was knowledgeable and had a practical approach."
What are your ambitions regarding further digitalization?
"We are currently further digitizing our contracts. For this, we can reuse the basis of Xtendis, which connects perfectly with the invoice archive. We do this in our own way: independent, down-to-earth, and a tad headstrong."
