Muller Zorg en Dienstverlening (Care and Service) is a residential initiative for people with dementia. Despite the fact that the focus must remain on the care itself at all costs, Muller Zorg cannot avoid a minimum amount of administration. Time for a quality system by and for the employees, which is aimed at making the work easy where possible and transparent where necessary.
About the client
In the small-scale Residentie De Kroeven in Roosendaal, in the south-west of the Netherlands, a maximum of 26 clients live independently in one of the 15 available apartments. Care entrepreneur Jose Muller founded this residential community and built it into what it is today with her husband, among other people.
Jose: “I have been working in healthcare since I was 17 and have spent many years ‘at the bedside’ myself – to say it in jargon. At my last employer, I divided my time between headquarters and the shop floor and saw how much time and budget was spent on overhead instead of on the care itself. I thought, "We have to be able to do things differently. With the current setup, we are showing that it can indeed be done.”
The challenge
Jose: “I started creating a digital health record and taking other digital steps aimed at facilitating a self-organizing team. In the process, we also wanted to achieve the PRESO quality mark. That's like HKZ, but more from the client's perspective.”
With Scienta, we have a quality management system by and for employees. It makes work easy where it can and transparent where it must.
“To organize all that, I worked with an intranet. Within it, I had a care file and could put most documents, but not everything. Also, there was no real search function. But what I missed most was a good structure. A coat rack on which you could hang everything logically. That was the immediate reason to start looking for a quality management system.”
“Most important of all was the efficiency and user-friendliness of the new system. Everyone had to be able to use it immediately. A system by and for the users.”

“Other systems did have many features, but not the structure I was looking for. At the WoodWing Scienta demo, I immediately saw the usability, the ability to link documents together, and the usable structure I was looking for.”
In the old situation, I was missing a good structure. A coat rack to hang everything on. Scienta is not only very user-friendly but also has the structure I was looking for. You just have to fill it in, so to speak.
“Meanwhile, the documents and descriptions we had are in Scienta. Team minutes, work processes, protocols, policies; you name it. I introduced Scienta to the colleagues and every month it is on the team meeting agenda. Then we discuss what people have discovered, what they find useful, and what might still be missing.”
“In my opinion, the introduction of such a system works best when you just start using it. Then you will see what you are up against and, above all, what advantages the system has for you. Ultimately, that's the biggest motivation to start working with it.”
“This is also how we approached the audit for the PRESO quality mark. By starting with a pre-audit, we gained insight into where we stood and what areas needed improvement. You make a plan of action for that, which is input for the annual plan for the following year.”
The result
“Because employees know where to find all the information, they are all on the same page. They no longer (have to) hesitate when answering questions from clients and their families. The same goes for the auditing process: you really don't need to learn everything by heart. If there is something you don't know, you just look it up in Scienta.”
